Establishing communication channels in ERP implementation project is vital to the success of the project. The flow of information from the planning team to the end users establishes whether the project will be a success or a failure.
Do not underestimate this point and invest the time and the resources in assigning the right tools to it. In order to plan the means of communication properly you must first distinguish which type of information must flow where and how.
Results of researches in the last years regarding the success of ERP projects show clearly that there is a link between the success and the endorsement by and commitment from top management.
Such commitment must be communicated clearly to the employees. Do not let the employees learn by mistake that a new system is being implemented. These will frustration among them and in later phases difficulties. Inform the workers in advance. It will give them the feeling that they are part of the project. Share with the employees your decision and let them know why you are taking this step. Communications within management levels and end users will establish strong organizational cooperation for the project.
I had participated once in a project where the project manager actually established an internet portal that all workers had access to and in this portal he published schedules for meetings, schedules for tasks, documentations for end users and messages and news regarding the ERP project. The effect was tremendous; all users were informed what is going on in the project and were excited to finish their tasks. It was a very open experience to all employees and they all felt that the project is shared with them. The progress of the ERP project was good and could (almost) be concluded on schedule.
